Setup Guide

Get Outlook email notifications, Teams presence, and meeting countdowns on your Stream Deck. Monitor your inbox, track senders, and stay on top of your schedule.


Install the Plugin

Outlook & Teams Notifications is available on the Elgato Marketplace. Install it directly from the Stream Deck app.

Open the Stream Deck app

Click the + button in the bottom-left corner to open the Stream Deck Store.

Search for “Outlook Notifications”

Type “Outlook” in the search bar. Look for Outlook & Teams Notifications by FlowKits.

Click Install

The plugin will download and install automatically. You’ll see the Outlook actions appear in the right sidebar under “Outlook”.


Sign In with Microsoft

Each key that connects to Outlook needs to be signed in with a Microsoft account. You only need to sign in once per account — all keys can share the same login. Both work/school and personal Microsoft accounts are supported.

Drag an Outlook action onto your Stream Deck

Start with “Inbox Monitor” to see your unread count. The key will show “Sign In” until you connect an account.

Open the key settings

Click the key in the Stream Deck app to open its Property Inspector.

Click “Sign In with Microsoft”

Your browser will open to Microsoft’s sign-in page. Choose your Microsoft account and grant permission. You can use a personal account (outlook.com, hotmail.com) or a work/school account (Microsoft 365).

Multiple accounts: You can sign in with more than one Microsoft account. Each key can be assigned to a different account from the dropdown in its settings.


Your Privacy & Permissions

When you sign in, Microsoft will ask you to grant permissions. Here’s what that means and why we need it.

FlowKits never reads your emails on our servers

This plugin creates a direct connection between the Stream Deck app running on your computer and Microsoft. FlowKits has no servers, no backend, and no way to access your data. Everything happens locally on your device.

What permissions does the plugin request?

The plugin requests the minimum permissions needed for each feature to work. Here’s exactly what each permission means:

Mail.ReadWrite

  • Read your unread count, sender names, subject lines, and email body text to display on your Stream Deck
  • Mark emails as read when you use the “Mark as Read” action
  • This permission does not allow the plugin to send, delete, or move emails

Calendars.Read

  • View your upcoming meetings so the plugin can show countdowns and meeting details
  • Read meeting join links so you can join Teams meetings with one press
  • This permission does not allow the plugin to create, edit, or delete calendar events

Presence.Read

  • See your current Teams availability status (Available, Busy, Do Not Disturb, Away)
  • This permission does not allow the plugin to change your status or access your Teams messages

Revoke access at any time: You can disconnect the plugin from your Microsoft account whenever you like at myaccount.microsoft.com/permissions. For more details, see our Privacy Policy.

Monitoring Keys

Live-updating keys that keep you informed without checking your phone or switching windows.

Inbox Monitor

Live unread email count on your Stream Deck key.

  • Press — Opens your inbox in Outlook.
  • Label — Monitor any folder: Inbox, Drafts, Sent Items, or custom folders.
  • Sound — Optional notification when new emails arrive, with 8 sound styles to choose from.
  • Customize — 16 theme presets, icon styles, badge colors, and display labels.

Email Preview

Shows your latest email’s sender and subject on the key.

  • Short Press — Toggle show/hide for privacy.
  • Long Press — Open the email directly in Outlook.
  • Customize — Background and text colors.

Sender Monitor

Tracks unread emails from a specific sender.

  • Press — Search for sender’s emails in Outlook.
  • Unread Only — Toggle to see all or just unread emails from this sender.
  • Sound — Optional notification when new emails arrive from them.

Search Monitor

Monitors any Outlook search query in real time.

  • Press — Open the matching search results in Outlook.
  • Query Builder — Visual query builder for complex searches.
  • Sound — Optional notification when new matches are found.

Next Meeting

Shows countdown to your next meeting.

  • Press — Join meeting (if a Teams or other meeting link is available).
  • Colors — Changes based on urgency: green when plenty of time, orange when approaching, red when imminent.

Teams Presence

Shows your Teams availability status.

  • Press — Opens Microsoft Teams.
  • Status — Displays Available, Busy, Do Not Disturb, or Away with color-coded indicators.

Mark as Read

Marks emails as read with one press.

  • Press — Mark the latest email or all unread emails as read.
  • Progress — Shows the count of marked emails.

Quick Action Keys

One-press shortcuts to common Outlook and Microsoft actions.

Open Folder

One-press access to any Outlook folder.

  • Press — Opens the selected folder in your browser.

Compose

Instantly open a new email compose window.

  • Press — Opens Outlook compose in your browser.

Outlook Calendar

Quick access to Outlook Calendar.

  • Press — Opens Outlook Calendar in your browser.

Microsoft Teams

Quick access to Microsoft Teams.

  • Press — Opens Microsoft Teams.

LCD Screen Actions (Dials)

Rich email previews and meeting info on your Stream Deck’s touchscreen. Rotate, press, and tap to interact.

Inbox Monitor & Preview

Live unread count with scrollable email preview on the LCD.

  • Rotate — Scroll the email body.
  • Push — Open the email in Outlook.
  • Tap — Toggle privacy mode.

Track a specific sender with scrollable email preview on the LCD.

  • Rotate — Scroll the email body.
  • Push — Open the email in Outlook.
  • Tap — Toggle privacy mode.

Monitor a search query with scrollable email preview on the LCD.

  • Rotate — Scroll the email body.
  • Push — Open the email in Outlook.
  • Tap — Toggle privacy mode.

Latest Email Reader

Read your latest email on the LCD touchscreen.

  • Rotate — Scroll through the email body.
  • Push — Open the full email in Outlook.
  • Tap — Toggle privacy mode to hide email content.

Email Browser

Browse recent emails as a visual card feed on the LCD.

  • Rotate — Browse between emails.
  • Push — Open the current email in Outlook.
  • Tap — Toggle privacy mode.

Account Overview

View unread counts across all connected accounts on the LCD.

  • Rotate — Scroll (if needed).
  • Tap — Refresh.

Folder Overview

Browse folder unread counts on the LCD.

  • Rotate — Browse between folders.
  • Push — Open the current folder in Outlook.
  • Tap — Refresh.

Upcoming Meetings

Browse your upcoming meetings on the LCD.

  • Rotate — Browse your agenda.
  • Push — Join the meeting.
  • Tap — Refresh.

Choose from 16 built-in theme presets to instantly style your keys. Each preset sets the icon, background, badge, and label colors in one click.

Override any theme with per-key icon and color settings. Pick your own icon style and set individual colors for every element.

Add an optional text label to your key with a custom color to match your layout.

8 sound notification styles with preview

Pick from 8 notification sounds and preview each one before applying. Available on Inbox Monitor, Sender Monitor, and Search Monitor keys. Adjust volume with the slider.

Troubleshooting

Common questions and fixes.

Keys stuck on “Sign In”

Open the key settings and check “Manage Accounts” to make sure your Microsoft account is connected. If the session has expired, click “Sign In with Microsoft” to reconnect.


No data showing after sign-in

Wait about 15 seconds for the first sync to complete. The plugin needs a moment to fetch your data from Microsoft after the initial sign-in.


Sound not playing on new emails

Open the key settings and check the “Customize Key” section. Make sure a sound style is selected and the volume slider is not set to zero.


Work or school account not working

Some organizations require admin consent before third-party apps can access Microsoft 365 data. If you see a “Need admin approval” message, contact your IT administrator to approve the FlowKits Outlook plugin for your organization.
